Start with maintenance consumption
Filters, belts, fluids and other scheduled service items are usually the easiest place to begin because demand is predictable. Use the manufacturer maintenance schedule and your fleet hours to estimate upcoming needs.
Identify high-impact repeat failures
Look at which small components have caused disproportionate downtime. A relatively inexpensive sensor, hose or fitting may deserve stock if it repeatedly stops a critical machine and has a long lead time.
Use fleet commonality
When several machines share engines, filters or attachments, a smaller set of parts can support more of the fleet. Standardization can simplify both purchasing and technician training.
Avoid turning the shelf into a museum
Review slow-moving inventory. Equipment gets sold, part numbers are superseded and components can deteriorate in storage. Return or reallocate items when possible instead of assuming every old part will eventually be used.
Connect parts planning to service planning
Parts stocking works best when upcoming maintenance is visible. If a machine is approaching a major service, order the required items before the scheduled downtime rather than consuming emergency stock at the last minute.
